PAYABLES ACCOUNTANT

Applications are invited from suitably qualified candidates to fill the position of Payables Accountant in the Finance Department. The successful candidate will report to the Chief Accountant and will play a key role in;

  1. Capturing supplier invoices and ensuring they have appropriate supporting documents and proof of authority to procure goods and services i.e. matching of invoices to local purchase orders where necessary.
  2. Processing adjustments into the accounting system to ensure that expenses both local and foreign are accounted for in the period in which they are incurred.
  3. Analysing other assigned general ledger accounts and timely submission of accounts analyses.
  4. Capturing vendor Debits and Credits notes and matching of vendor accounts in the accounting system.
  5. Clearing in transit accounts on monthly basis.
  6. Maintain the records of accounts payable by filing all source documents and system generated reports
  7. Undertake a range of operational activities associated with accounts payable including providing advice to clients and vendors, creditor file maintenance, monthly reconciliations, invoicing and claims management and other relevant duties as required.

Other tasks include:

  1. Pay employees by receiving and verifying expense reports for advances.
  2. Maintain accounting ledgers by verifying and posting account transactions.
  3. Charge expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries
  4. Protect organization’s value by keeping information confidential
  5. Any other duties as directed by Chief Accountant and or Head of Department

Qualification and Experience

  • A graduate in Accounting.
  • 1-3 years accounts payables in a busy Finance Department.
  • Experience in processing accounts payable, general ledger transactions within SAP environment.

DEPOT ASSISTANT

Applications are invited from suitably qualified candidates to fill the position of Depot Assistant in the Operations Department. The successful candidate will report to the Depot Manager and will play a key role in ensuring that;

  1. The Depot is operated safely at all time and reports on all non-conformities are timely reported and closure closely followed to the end.
  2. All infrastructure / equipment is properly and timely maintained to avoid down time.
  3. Product receipts & tank stocks are handled and stored safely & efficiently.
  4. Customers’ demands are met safely, timely and deliveries effected according to type & quantities ordered.
  5. To provide a "seamless" interface and guidance to Customer Service with pre-planned scheduling of deliveries to customer sites within 48 hours.
  6. Products losses in the depot are eliminated and reports on the same are produced and circulated timely.
  7. The products stored in & distributed from the depot are of high quality.
  8. The job holder’s responsibilities impact directly on Safety Health & Environment, Operating Costs & Sales turnover. He must ensure that all operations and services are consistently compliant with Total HSEQ Group Policies and Standards.
  9. To manage resources (installations, equipment and people) to provide Safe, Cost Effective and Efficient terminal operations in (receipts, storage and handling, loading and deliveries and stock accounting).

Qualification and Experience

  1. Minimum of Malawi School Certificate of Education (MSCE), Diploma in Mechanical Engineering, Trade Test Certificate in Mechanical or Electrical Engineering with good understanding of depot equipment & all factors that go with it.
  2. Honesty, a very high sense of integrity & professionalism in all actions.
  3. Flexible and able to work long hours.
  4. Experienced enough, very analytical in safe depot operations
  5. Product Knowledge and Fire Fighting Competency.
  6. Safety conscious of the type of products involved in and very knowledgeable.
  7. Strong problem solving and analytical skills.
  8. Ability to function well in a team-oriented environment.

TREASURY ASSISTANT

Applications are invited from suitably qualified candidates to fill the position of Treasury Assistant in the Finance Department. The successful candidate will report to the Treasury Accountant and will play a key role in;

  1. Daily preparation of cash control reports to be used in receipting in customer accounts/bank confirmations.
  2. Daily download of bank balances on the electronic banking system
  3. Timely processing of accounting adjustments.
  4. Timely submission of accounts analysis
  5. Clearing in transit accounts on monthly basis.
  6. Daily cash position leading to sound treasury management as excess funds are subjected to short term investments thereby earning finance income for the company.

Other tasks include:

  1. Processing of supplier payments whenever invoices fall due.
  2. Preparation of bank letters for transfers / deals
  3. Making bank deposits.
  4. Providing back-up to the Treasury Accountant.
  5. Any other duties as directed by Treasury Accountant and or Head of Department.
